We’re looking for a proactive and organised General Admin VA with estimation experience to support a growing residential construction business in Australia. This part-time, remote role involves working closely with the business owner to develop systems and processes, manage day-to-day admin and operations, and help with accurate cost estimates for high-quality residential projects. Please note: This role is primarily focused on General Admin & Operations. If you're an estimator with no or little admin / operations experience, this role isn't for you.

The Details
Job Location: Remote, work from home
Company Location: Australia
Job Type: Part-time (20 hours/week to start, with potential to move to full-time).
Working Hours (Philippine Time): 7am PHT start, with flexibility
Responsibilities
General Admin & Operations
- Check inboxes, prioritise tasks, and flag any urgent client or supplier communications.
- Maintain and organise documentation in Google Drive, Dropbox, or similar platforms.
- Create and format SOPs, internal process documents, and job templates based on Loom videos or verbal instructions.
- Support the owner in implementing weekly admin routine and recurring task checklists.
- Bring structure to the business’s digital operations.
Construction admin & estimating support
- Upload and code invoices through WunderBuild, HubDoc, and Xero.
- Assist with the operational side of cost estimating such as organising quote requests, entering data, or formatting estimates.
- Track subcontractor quotes and follow up on outstanding information.
- Review and organise plans, drawings, and specs related to project estimates
Team Support & Coordination
- Be the main point of contact between the office and internal site team
- Assist with onboarding new team members by documenting systems and sharing SOPs.
- Help the business owner stay organised by managing task flows and weekly check-ins.
SOFTWARE SKILLS
- Google Workspace (Docs, Sheets, Drive, Calendar, Slides)
- Trello, ClickUp, or Monday.com
- WunderBuild (or willingness to learn), HubDoc, and Xero
- Loom or other screen recording tools
- Canva (basic to intermediate use)
We want to hear from you if you have…
- At least 4+ years of experience as a General Admin, Operations VA with exposure to cost estimating.
- Experience working directly with Australian, US, or UK clients.
- Familiarity with construction or service-based businesses, (estimating is a plus).
- Confidence using project management, CRM, and finance tools.
- Excellent English communication skills, written and verbal.
- Strong communication, time management, and attention to detail.
- A proactive attitude and the ability to manage multiple tasks independently.
